Understanding Bookings
Bookings constitute an agreement between a number of parties on Tourbook. Each booking brings together:
- a Performer - who is performing on stage (required).
- a Tour - the show that is being performed (required).
- a Venue - where the booking is happening (required).
- a Presenter - who is responsible for presenting this event (optional).
Booking Ownership
A Booking is owned and managed by the Account that first created that Booking. It is the responsibility of the Booking Owner to ensure that Bookings are accurate and up-to-date so that everyone involved is clear on the current status of that arrangement.
Note
Published bookings will appear in the Diary of every participant in that arrangement in order to ensure that information is consistent across every user.
Adding a Booking
To add a Booking to your diary:
- Log in and go to tourbook.live/dash/diary
- Click on + New Booking
- Set Booking Status
- Enter the Booking Details
- Enter the Marketing and Box Office Information if required.
- Click Save
Setting Booking Status
When you add a Booking, you will first be asked to add a Status.
The statuses for Bookings are:
Pencilled | Bookings that are under discussion but not yet finalised. | Visible to all parties involved in the booking. |
Confirmed | Bookings that are finalised but are not yet publicly promoted. | Visible to all parties involved in the booking. |
Published | Bookings that are available for public promotion. | Visible to everyone on Tourbook - via the Diary listing of each participant. |
Booking Notifications
When you create a booking, the other parties involved in the arrangement will be notified of the booking, details and status. Bookings added by others that involved your Profiles or Pages will appear in your Diary pages.
The booking will appear in the Diaries of other parties involved, but will only be editable by the Account that has added that Booking. If you need to change any details added then contact the Booking Owner directly.
If you are a member of a Premium Network, the Network will also receive notification of a Published Booking so that they can help to promote your events through their Network channels.
Viewing Bookings
Bookings can be viewed directly in your Dashboard page at tourbook.live/dash/diary
This page brings together Bookings across each Profile or Page that you manage. If you would like to view Bookings for a specific profile or page, select that Profile or Page and click on the Diary tab.
Editing a Booking (owned by you)
To Edit a Booking that is owned by you:
- Log in and go to tourbook.live/dash/diary
- Click on the Edit button
- Make required changes
- Click Save
Note that other participants in the Booking will be notified of any changes such as amended time or date.
Amending or Querying a Booking (not owned by you)
If you believe that a Booking has been added in error, or does not reflect accurate information about an arrangement that you are involved in you can contact the Booking Owner directly. To find out who is responsible for the Booking:
- Log in and go to tourbook.live/dash/diary
- Click on the dropdown arrow to the right of the Booking Status
- Click on the Account Name
- Contact the Account Admin.
Reporting a Booking
If you believe there is a problem with a Booking and would like to report it to the Tourbook team just contact us at support@tourbook.live and we will ensure that appropriate action is taken.
